Learning note on organising symposium ieom dhaka held on 19 Dec 2015 at IEB

The day before the event try to keep it as rest time. All tasks should be done before that rest day.

Stage management should be considered like what to be said, who will be on stage , how crest or other things are to be given.

Buzzer may be used to indicate time is up.

Lee way of time should be kept. If it is a bigger presentation to short it but shorter presentation is difficult to enlarge. One option is to keep video presentation during tea break and that time may be as buffer or a light presentation that may be omitted. If question answer is allowed specific time should be allocated. For example, 15 minutes presentation and 10 minutes QA.If presentation prolongs, QA session may be curtailed.
Keep something going is better to keep audience inside and if not with accompanying person, it is difficult to pass that time.So lunch time presentation or video presentation should be great.

Lunch box with spoon may be served inside just seeing the coupon or reg receipt. A tissue may be given alongside and a bottle of water.

It is better to see the place earlier to put sign, location toilet,prayer room,parking,ATM,shop,cafe

lunch box coupon may be the reg fee receipt. When a lunch is given a stamp may be placed behind. It is kind of deterrant method, actually no one counts. However for counting a box may be placed or better it may be torn away. However to get the exact no of lunch box offered coupon may be kept after tearing a little bit. It is easier if lunch box may be self serviced from several tables or may be given those are seated or atleast there should sufficient no of counters.  In the buffet if possible arrange four directional movement atleast both sides and several segments.

Attendance certificate and other certificates better may be printed earlier. Else a printer may be assigned on the registration desk.

Certificate may be better given during registration. And if given later better be given in the stage by calling name.

A cameraman was assigned.That's grand.However its better to take some important by the organizer himself for the record.

sometimes software does not work at different computers. So projector laptop used there is better be checked earlier.Presenters may be asked to bring pdf and if possible own laptop.

Paper,glue,scissors,scotch tape,pen,tissue paper may be bought. For special guests, ceramic cup ware may be used. For faculty a specific area may be allocated.

Check the certificates for all dignitaries are prepared.

Sort of bag may be tote bag to be provided for carrying staff.

payment better be collected earlier with sort of document like deoposit slip or online transfer.

Time schedule of the event and venue's different things location may be posted in a visible location of the venue. Such  items may be placed at different places showing where the thing is posed with a arrow mark. For the latest gps technology available in most mobile, longitude latitude info or location link in google may be posted in the website or information brochure.

Press release about the event should be written letter so that it could be sent immediately after the event.
